Question

You run an interior design company. A small business owner has hired your firm to redecorate his/her main office. This is a one-room open space that needs to accommodate 10 staff members and their desks, including the company’s front desk receptionist. As people often visit the office for meetings, there must be additional space for non-employees.

Last week, your head designer drew up an initial plan for the space. The business owner, your client, is dissatisfied.

Using your imagination, consider the following questions:

What is missing from the design?

What would make this design more accommodating to the staff and guests?

What are the company’s goals?

How can this design help them achieve these goals?

Now, write a memo to your designer suggesting the changes you think should be made.

You should discuss the reasons why the office needs to be redecorated as well as your recommendations for the new design. Use your imagination to determine the current layout of the room as well as the necessary improvements. Your improvements should be logical and clear.

BE SPECIFIC WITHOUT GOING INTO DETAIL. For example, your employees should know exactly why the sofa needs to be bigger, but you don’t need to tell them the exact new dimensions. Think of it this way: your employees have a job to do. They need to know what you need changed, but it is their job to figure out how.

Remember that the tone of the memo should be professional but familiar. Your employee already knows a bit about the project, so your background should be brief and to the point.

Use the proper heading and format for a Memo. Include a Summary, Discussion, and Recommendation.
