3-6 Some writers argue that planning messages wastes time because they inevitably change their plans as the go along. How could you respond to this argument? Briefly explain.
3-7 A day after sending an email to all 1,800 employees in your company regarding income tax implications of the company’s retirement plan, you discover that one of the sources you relied on for your information plagiarized from other sources. You quickly double-check all the information in your message and confirm that it is accurate. However, you are concerned about using plagiarized information, even though you did nothing wrong. How you would handle this situation?
3-9 You have been invite to speak at an annual industry conference. After preparing the outline for your presentation, you see that you’ve identified 14 separate points to support your main idea. Should you move ahead with creating slides for your presentation or move back and rethink your outline? Why?
Explanation / Answer
1) Planning messages is a good way of giving outlines to ones ideas , but people may not stick to their original ideas and tend to deviate depending upon situations and mood. But palnning messages is a good activity before execution as it gives a breif idea of the action ,even if people deviate from the same their ideas will somewhere still revolve around their basic structure .Hence, it is not totally a waste of time.
2) In such a situation its necessary to reveal the original autheticated source in the form of reference so that readers do not feel cheated and plagiarism can be justified. However it is suggested to be careful while sharing something to a large audience as only authenticated work should reach the audience . If such a situation tends to take place another mail should be shot to tthe employees stating references and the original sources cited well for the readers to get more and detailed information from the original work and be assured of the information passed.
3) In such a case the presenter should keep in mind the new pointers and bring them up during presentation as per their relevance. Also necessary points should be highlighted before and detailing should be dependent upon the time cintraints and audience type . Secondly, outlining is necessary to keep in mind the sequence , presenter can take up queries post the session if not covered in time .But mentioning some necessary ones during the session will help the audience get an idea of all the important aspect of the conference.
