Question
Project management is the art of managing the project and its deliverables with a view to produce finished products or service. There are many ways in which a project can be carried out and the way in which it is executed is project management. Since there is often more than one approach to achieving a project outcome, project proposals may be solicited before one course of action is chosen. The project proposal then addresses each aspect of an approach and its projected impact on the project outcome. These aspects could include a variety of impact observations, such as cost, sales or production analyses.
Hence, the project proposal is of paramount importance as it is presented to your stakeholders as a means of explaining exactly what you are going to do, how you’re going to do it, and what the results of that process will be.
Your Task:
Study a Project Report of a social or commercial project of your organization or organization accessible to you. Prepare a concise report of 3000 - 4000 words to cover the following aspects.
1. Title of the project
2. Nature and the objectives of the project (a brief introduction to the project)
3. The key ingredients you observed in the selected project to ensure that the project will be managed successfully.
4. Your observations on the problems / issues of the selected project which make you uncertain the successful completion of the project.
5. What can be done to improve the level of efficiency that you might portray in the project management scenario of the selected project?
Note: Be sure to use section headings to make your answer easily captured by the evaluators.
Explanation / Answer
Project Report
Title: Design and Construction of Civil, Building, Track works, E&M, S&T works for double line railway involving formation in embankments/cuttings, bridges, structures, buildings, ballast on formation and track works (CTP 14), substation and auxiliary station works.
Nature and objectives of the project:
The project involves the construction of 128 km of railway track and its components between Rewari and Dadri. It includes the civil, building, track works, E&M, S&T works involving embankment/cutting works, bridges, structutres, ballast works, design and supply of traction power supply system, traction sub-stations, auxiliary stations.
The key ingredients observed in the selected project to ensure that project will be managed successfully are as follows:
1) The learnings from the previous similar projects CTP 1 and CTP 2 such as protection of embankment by turfing at the earliest, avoiding deep cuts without construction of retaining structure were incorporated in CTP 14 project.
2) Face stability calculations (sliding failure analysis/analysis of local wedge failure) for every anticipated geological scenario is performed using appropriate models.
3) Inspection of the critical componenents of the project such as joints is carried out by the engineer and contractor at frequent intervals.
4) Discussions were held frequently between the client, contractor and Project Management Consultancy regarding the project progress, whether the project is running as per schedule and the root causes of the project components running behind schedule and learnings were developed from components running ahead of schedules.
The problems/issues of the selected project which make the successfull completion of the project uncertain were:
1) Inefficient management of stakeholders of the project which delays the progress of the project at times.
2) Numerous changes in the scope of the project and inefficient change control procedure.
3) Uncertain weather conditions which delays the project progress at times.
4) Lack in the management of electronic copy of the project related data which made tracking of the project difficult.
The steps which could be taken to improve the level of efficiency in the project management scenario of the selected project are as follows:
1) Proper strategies should be made for the stakeholder management as they are very important components of any project.
2) The scope of the project should be analysed properly before proceeding with the execution and various factors which may lead to change in the scope should be analysed beforehand such as the risk assessment, clearances analysis, environmental factors analysis, proper site study to understand the various obstructions at site etc.
3) Asset Management Information service should be adopted as it considerably saves the execution time and keeps a proper track record of the assets used in the project.
