Explanation / Answer

Purpose

The purpose of this policy is to provide all the stakeholders of the business with a framework for using social media safely and responsibly. Social media is used by the stakeholders to exchange information and opinion and to learn from experiences or have fun. The employees must remain productive and responsible while using social media. This policy will provide the employees with a set of guidelines to help use social media interactions carefully in the workplace or otherwise.

Scope

The policy is applied equally to all the employees of our company.

Guideline

Before stating the policy we define social media as - "all means of communicating or posting information or content of any sort on the internet, including to your own or someone else's web log or blog, journal or diary, personal website, social networking". The employees and other stakeholders must note that any activity on the social media which adversely affect the employer or any other stakeholder may lead to disciplinary action and even termination. Following the below guidelines will help the employees remain within the legitimacy of the policy.

1) Be respectful : One must remain fair, kind, and courteous while talking to or about any colleague, business partner, supervisor, associates, customers and suppliers. Harassment, bullying and abusing are strictly prohibited. Social media must not be used to share personal grievances in the workplace for that purpose, there exist other open-door grievance redressal policies in the organization.

2) Be honest and accurate : Employees and other stakeholders may be required to post relevant information on the social media as part of the social strategy of the company. the members thus granted will only be using company-given user identification details to post information or marketing content on the social media. The content must be accurate and honest and must not deceive the other users of the platform.

3) Post appropriate contents : The employees must post their contents after checking that they are not categorized as per the below bullet points under all circumstances.

4) Using social media at the workplace : Unless otherwise authorized by the employer, an employee is strictly prohibited to use social media in the workplace in any form.
