1. The four universal functions of management are

An example of planning can be observed in project management. We shall look at the four functions with a project management practice in mind.

The project planning phase takes care of requirement, budget, timeline and modus operandi. It basically lays the groundwork for the other functions.

Let's take an example of organization with the same instance. In project management, the tasks and their processes have to organized. In addition, there will be required tools that may need to be sourced and arranged. Organization and arrangement is the next step after planning. However, few activities of organizations may happen during control and leading phase as well.

Controlling example in handling a project could be collecting and reporting regular update on the progress. The plan that was laid down at the planning phase, is the project going according to that? Is the team falling behind? Are we ahead of the schedule? Is the quality under control? All these questions can be answered in regular manner to have a better control over projects.

Leading, as the name suggests, is one of the intrinsic function of management. It implies taking initiatives and charge of things. For example, a project manager may not be direct boss to the team members. However he/she may still lead the team through his/her knowledge and expertise.

Figurehead role is a ceremonial responsibility. As a manger, you may be often required to authorize an action.

Leader role is something that you play on a day to day basis. For example, leading a team or a project.

Liaison role comes into play when you may need to be the bridge between your team's task and some other teams.

Monitoring is a controlling role. As a manager, you need to make suer that task/operations is running smoothly.

As a resource allocator, managers need to decide where to apply tangible resources, human resources and effort.

As entrepreneur, managers need to bring in new ideas, solutions and take new initiatives.

As a disseminator, managers may be required to communicate key information to the team and other colleagues.

Spokesperson role comes into effect when managers need to speak to stakeholders on behalf of the team.

Disturbance handle is a conflict resolution role. There could be conflict in opinion, process and tackling them becomes a task for the manager.

Negotiator role is played by manager whenever there is a requirement to participate in direct negotiation. It could be with teams, colleagues or external clients.
