Here are some ways of capturing it and using it effectively: (a) keep it human; (b) focus on useful knowledge and “know-how”; (c) collect artifacts; (d) avoid an insular, isolated focus; and (e) keep your knowledge fresh. Briefly explain what you think each of these suggestions means. As you write your explanations, discuss the implications for strategic decision makers. (a) keep it human:
Involve more and more people in the process and do not lose the human touch. Companies are automating the process and it is good a certain extent. The processes required human touch because they need someone who can think and made decisions based on that to capture the knowledge. The decision makers can realize that they need to human touch because the knowledge being captured will be used by humans. The captured data should make sense to the people who are going to use it again.
(b) focus on useful knowledge and “know-how”
The term knowledge is very vast and there is a lot of data to be captured and consumed. But this is not a good thing because the useless data will not help anyone in the company. The people working on data collection need to know what is required for the users in the company and concentrate on gathering that information. The strategic decision-makers will think about the number of resources involved and also the investment required for this project. So they need to make sure that the project is a success and does not require a lot of resources.
(c) collect artifacts
The approach to capture the organizational knowledge should not be through any random method. The company should concentrate on the research and find ways that are successful and build by people working in the same domain. The decision makers will make sure that they have the right people working on this project. Artifacts can help the company feel confident that they are doing the right thing and following the right approach.
(d) avoid an insular, isolated focus
Be open to new ideas and always consider the users and their mind when you are planning to capture the knowledge. The idea should not be isolated and it should be flexible so that the company can make changes according to the market needs. The decision makers will need to keep their eyes open for the best practices and adapt what is best for the company. They can see the difference when they see that having an isolated focus does not help in any way.
(e) keep your knowledge fresh:
The knowledge is a vast field and there will be changes every single day. The company cannot rely on the knowledge captured one year ago. They need to come up with new strategies to implement and capture the data. The freshness of the data helps the company and the employees to learn better and practice better. The decision makers will need to decide when to capture the knowledge and how they can keep the data fresh without losing the quality.
