The proposed system will provide more information and faster updates and will automatically monitor fast- or slow-moving items. A. It's highly recommended that JAD sessions be held off site. This is important to avoid business distractions and keep clear focus on the task at hand. B. An Executive Sponsor/Team Lead- This person should have the appropriate authority to execute ANY and ALL recommendations by the JAD team. Facilitator/Session Leader- This position is to oversee and moderate each meeting and session agenda. They exist to insure good participation and accountability for all team members. They do not directly contribute ideas to development. Documentarian/Scribe- This person should record and publish written and/or recorded record of each meeting. They do not directly contribute ideas to development. Observers- Those whom the project may impact and thus have a need to observe. They are not to contribute to the project. C. The goal of the first meeting should be to outline the objectives of the project. Define the goals of the project, the expectations of it's members, it's impact, business objectives, deliverables, requirements, metrics, time frame, and the overall scope of the project. D. High level staff needs to be involved in the development process. The reason is to give feedback on aspects of the projects feasibility which may impact the expectations of senior management and the projects integration with the organization. Not having high level staff involved can lead to unworkable projects which are difficult or impossible to change later in the design process.
