Question
Audience analysis is the first of three steps in the AIM planning process. In this step, you consider the needs, priorities, and values of your audience. See how this audience-centered approach is used by a company when planning business messages in the Planning Business Messages: Orange Photography video.
In this assignment, you will use the AIM planning process to develop a business memo to your own organization to justify the adoption of one of the following programs:
A copay exercise facility
A daycare facility for employee’s children
Free employee parking
A company-wide picnic
Job sharing opportunities
Employee volunteer activities during work hours.
Working at home once a week
Develop a one-page business memo that demonstrates clear, insightful critical thinking in the application of the AIM method of communication.
Explanation / Answer
AIM planning process involves three steps:
Though Memos are usually written as information and are impersonal and used for mass communication, it occasionally also has an element of persuasion or call to action of employees to perform a particular action.
So a memo or memorandum will start with the titles; To, From, Date, Re/subject,the Body, Conclusion. This is message structuring.
Let us now consider working at home once a week as an example.
The audience that you are writing to or addressing are the employees of your organization. The message that you want to clearly send across is that employees of the department are allowed to select a day twice a month, which they would like to work from home after they have cleared it with the HR department. In case of clashes between the dates with another employee then the discretion is left upto the manager as well as HR depending on the role of the individual in the organization, etc
Next to use idea development process in your memo; you will start by stating that due to many requests from employees that they were unable to complete their formalities at home and at the office due to exessive commuting hours which in turn was leading to much overtime, you have decided to allow the employees to opt for work from home options for non critical functions upon a condition that the day the employee has opted for such a privilege on that day the employee would be on call for any emergencies and this privelege would be revoked if there were any problems.
