Background
As I hold the postion of IT Consultant,New Century Wellness Group asked me to perform a preliminary investigation for a new business support system.
I had many meetings with Dr. Jones to discuss office records and accounting systems.
-I completed a Project Management Plan for New Century
- Now, I am going to develop a system requirements model.
- I suggested an integrated system for the analysis of four key areas: patient scheduling, billing and accounts
receivable, human resources, and payroll as they are highly interactive and interlinked together.
- Dr. Jones and the partners are interested in a medical practice support system and expanding the suggested business support system.
- I suggested that the Medical practice support should be a separate system for New Century's long-term strategic plans and that it should be compatible with the business support system design.
-I suggested users involvement in the requirement modeling process for project success in the future.
-TASKS to be performed:
Develop JAD team and start requirement modeling process.
1)Joint application development strategy helps us find facts and allows our users to be active participants during its development process. Our JAD team will allow our users,managers and software developers to work together and gather information to gather our new system requirements.
A JAD team has a project leader or an executive sponsor , having strong interpersonal and organizational skills and two members(Scribe) for recording and documenting the results and decisions.System analysts will participate in discussions and provides support to the team.Considering the organization chart of new century wellness group, I would put following members into the JAD team.
Firstly, the owners of the clinic, Dr Jones and Dr Garcia must be included in the JAD team as executive sponsors, as any strategic decision will be taken by them. As the present office manager , Anita Davenport must be included in the team as facilitator since her clinic management skills can be put to her in good control over the JAD team. She supports the staff of the clinic who are responsible for communication with patients. . As Susan Gifford monitors the patients records,her knowledge will be helpful for covering minute aspects of the system to be developed by our JAD team.
Since she takes care of the patient medical reports, she can give her valuable inputs on what kind of information will be required by the medical staff at the time of appointment scheduling and patient visits.
Tom Capletti manages accounts receivables,hence he should also be included in the JAD team because he can give information regarding billing management. Tammy Alipio manages insurance and billing, should be there in the JAD team so that she can give information for insurance claim requirements. Lisa Sung manages the appointments, so she can give information regarding patient details and act as observer , interact with users before and after sessions . Carla Herrera manages the ordering,organizing and medical supplies, she can give information about the supplies department. I will act as IT Representative, guide the team by providing technical advice and help in building the prototype and coordinate the flow of information among all the team members.
The users to be involved in decision making can be patients,relatives of patients ,medical staff like recptionists,nurses,doctors and other managerial staff.

Since Fred and Corinne are working more with the employees more that the patient so I decided to set a separate meeting with them instead as they require a specialised system and not include them in the JAD team as of now.

System input:
We will include the client’s personal details (before the appointment)-This would include Patient Name, address, phone number, employment status, insurance coverage .
We will include also, the client’s medical history-which will include current medications, medical history, lab results, history of previous diseases and surgery undergone if any..
System process:
Medication checking-To cross check and see that medications prescribed by a doctor are not conflicting conflict with other medications. The system should alert the user by displaying the conflict and also allow it to be ignored.
Procedure to Codes-To verify if each procedure is assigned the correct billing code in preparing the final billing statement.
System output:
Supplies.-- Sends a notice when supplies are used according to appointment type.
Payment record/insurance statement-Displays insurance policy,time of expiry and medical procedures covered under the insurance along with payment records.
Client medical history-It will be accessed by the doctor at the time of the appointment.
Information for Billing/Insurance Claims -It would display the patients name, address, and insurance information.
System performance:
System must be operational during the clinic hours especially.
System should quickly display the required information .
System should not crash quickly and perform uniform updates from the backend periodically to ensure data integrity.
Control of system:
- The system must should have a secure log-in (eg a one time password ) to protect patient confidentiality. This also allows for tracking changes made by non authorised users.
-The patient personal data and online transactions should be done securely using many security levels in the software.

Coming to the choice of sampling method, I would use Stratified Sampling since it would help in thorough evaluation of the system's services for different types of users.Our user strata for system evaluation will include patients,patient realatives,receptionists,doctors,nurses,system operators .
