When our society offers a new tool or a new way of communication, it seems that we all cannot wait to buy it. (Myself included.) As a result we are so busy using the new tools that we do not always see them for what they are: tools. We buy the newest cell phone that is loaded with the latest technology, and then the new tool becomes a part of who we are and it takes over the way that we communicate. Sometimes, I think that the technology is then controlling us.
There are many advantages and disadvantages of using different types of media (oral, written, visual, and electronic).
Please discuss the follow topics with your classmates:
1) When should a telephone call be used instead of email?
2) Should I be concerned with my audience's preferred method of communication? Why/Why not?
3) What are the advantages and disadvantages to texting or utilizing a smart phone while in a meeting?
4) What is your preferred method of communication? Why?
Explanation / Answer
1. A telephone call should be used when something is urgent and needs to be intimated or communicated immediately. Although most of us find it convenient to just pick up the phone and dial the number directly, we fail to understand the other person's concerns. We cannot see the person and hence do not know if this is the right time to make a call. The person may be busy in some work, in a meeting, driving or on another call. Hence, calls should be only made when its really urgent and important. It is always better to send emails for official communication as it firstly has an "evidence" value and secondly one can write and explain all points which may not be possible to convey through telephone calls.
However, communication with friends and relatives are better off directly on phone than sending emails. Talking on phone conveys a feeling of personal touch and is informal. Sending emails to friends or relatives who are also available on phone makes communication formal and loses the personal touch.
2. One should always respect audience's preferred method of communication. The audience must be having their own reasons for it and therefore it should be respected. Not adhering to the preferred choice of communication may result in delayed response, no response or snapping of communication totally.
3. Texting during a meeting enables oneself to address important issues silently without disturbing anyone. However, texting individually while a meeting is going on has two major consequences. First, it shows disrespect to others and secondly one may not be able to follow the meeting deliberations.
4. My preferred method of communications is emails and smart phone texting. This gives me flexibility to write all my points at my own speed and when I want. I can check, re-check, edit, delete and save as draft before finally shooting off. I can also go back on my messages sent and follow up for the ones response not received. All records of communication can also be maintained.
While talking to friends and relatives, the preferred mode is ofcourse telephone calls as already explained above.
