Routine Electronic Message assignment:
Your task: write an email to Ludmilla Nahtepa (ludmilla@PrintPanther) that clearly describes the two options you propose and ask her to choose the option your company should pursue. You do not have a preference, nor do you recommend an option. Give a deadline of September 15, 2018 to respond.
You are a sales representative for PrintPanther, a national company whose business is printing and related business solutions. One of your largest clients is Middle State University (MSU), an institution with an enrollment of 10,000 students. You are the sales representative who is in charge of the MSU account. Five years ago, your company provided all of the printing and technical support services to MSU, but then your competitor, Ranger, won the account for half of MSU’s schools: the Colleges of Law, Aviation, and Engineering. Your company still provides the printing to the Colleges of Art, Business, and Sciences. It has been this way since 2011, but you just learned that MSU now wants to go with a single company to provide all printing. You have a short amount of time to write and submit a proposal that will compete against Ranger for this account. One of the two firms will soon have all of MSU’s business for the Spring 2019 semester. You estimate that both companies will offer similar pricing and service options to MSU as part of your proposals. To set your proposal apart, you have developed this idea: offer either a scholarship or internship to a group of MSU students, whose task it will be to develop and execute a program designed to educate other MSU students, staff, and faculty in the Colleges of Law, Aviation, and Engineering about how to use your printing system. This service would be part of your proposal anyway, but your company would provide it directly; the difference is that students would now do the work. The program would also task the student group to develop a logo designed to get users excited about the benefits of your system. The scholarship option would work this way: $5,000 would be awarded to the group of students that wins a contest that your company would sponsor. This contest would be announced by PrintPanther through social media, posting advertisements around campus, and by asking faculty to make students aware of it. Students would then submit entries by mid-October, with the idea being that they would submit their final plan and logo by the beginning of December. Because you are offering payment, the winning group would be on its own to find outside resources to assist it. The second option, the internship, would not offer any money to MSU students. Instead, you envision that a group of students would work under the guidance of PrintPanther support and marketing staff to develop the training plan and logo, and that in place of financial support, you would provide an experiential learning experience for the students that they could put on their resumes. You would choose the group from a list of student applicants. You estimate that you would need four PrintPanther staff to work with the students, that they would need to spend 2-3 hours a week with the student group for a period of six weeks, and that they would need to travel to campus two times, in early September and early October, to monitor the group’s progress and receive the final plan at the end. You want your direct report, Ludmilla Nahtepa, the director of sales at PrintPanther, to consider both of these possibilities and to decide which one to include as part of your proposal to MSU.

Subject: Proposal to maintain contract with Print Panther
Dear Ludmilla,
Our company came to know about the consideration that MSU is making about keeping the printing solutions with either of the company – Print Panther and Ranger. Our company has come up with a proposal to win exclusive contracts from MSU for all printing and technical solutions.
We are planning to offer scholarship or internship to a set of selected students of MSU, who will have to develop a program which will work to educate others at MSU about how to operate the printing system. It will be like an awareness drive, conducted by your students. This will give them a knack about how to work in service industry setting and be self-reliant and independent. Also the students will be asked to come up with interesting logo for our company.
We are thinking of either offering the scholarship or internship. The scholarship will be awarded to the students who win the logo contest, organized by our company. The students will be required to post their concept idea by mid-October and submit the final logo by Dec. The students who win this contest will be awarded scholarship. The internship will not have any stipend associated with it. Instead the students will be offered rich work experience. The internship will try to promote experiential learning. During the internship, the chosen students will work for around 2-3 hours a week with the staff of Print panther for a total duration of 6 weeks. The students will be evaluated by our staff in early September and early October.
Kindly consider the proposal and do let us know, which proposal interests you the most. In case of any doubt, do not hesitate to contact me. Print Panther will be obliged to continue the relationship with MSU for various upcoming years.
Sincerely,
Tia Moody
