Explanation / Answer

Let us evaluate each options to determine the right response.

Option 1 - Telling Mr. Wade that we shall revert to his query the following day means that he would have to wait the entire day to get answers to his simple queries. There are even higher possibility that he may get his answer from another personnel of our department and this would reflect very poorly on ourself. Therefore, this option should be avoided.

Option 2 - Asking for Memo makes the entire situation too formal. We should also understand that Mr. Wade is a Director level employee and asking him for a memo to answer his simple queries would be a disrespect to his seniority and may further lead to conflict between the departments. Thus, this option is also not good.

Option 3 - We shall understand that organizing the tasks and doing such activities are personal activities and this can be put on lower precedence in the present situation. Moreover, there is nothing that cannot be done the following day and hence, giving those tasks higher precedence is unjustifiable. Moreover, while meeting Mr. Wade for few minutes, we can attempt to understand his query and try to resolve it as soon as possible. If that is seen to be not possible, we shall try make him understand that you are little busy at the moment and shall revert to him with dedicated time slot on immediate availabilty.
