Even during the slowest days of Mr. Reebok’s work, his desk and file cabinets are covered with stacks of papers. He serves as the only payroll clerk for 88 employees of 3 different offices. Mr. Reebok has many different tasks to perform and a lot of paperwork to complete. For this reason, the office manager urged him to make a list of vital activities at the beginning of each week and then check off the items as he finished them during the week. However, he always felt too busy to bother with such a list! Unfortunately, when things slowed down one month, he found buried within the stacks on his desk Form 940, the Employer’s Annual Federal Unemployment (FUTA) Tax Return which he had started to work on, but had never completed before a huge project interrupted him. Because the company did in fact owe FUTA taxes, the firm would now be required to pay a penalty for lateness of taxes owed. When Mr. Reebok brought this to the attention of his office manager, he was asked to consider a transfer to a simpler job. What is your reaction to this scenario?
Explanation / Answer
The reaction of Mr. Reebok will be of disappointment and angry because he understands it was his fault about not submitting the tax paper but the problem is that he has too much work for only 1 person, he is trying his best to complete all of his tasks but he has too much on his plate.
The advice of his manager to create a to do list would help but looking at the bigger picture Mr. Reebok needs help, I would advise the company to hire an assistant to help Mr. Reebok on the non-critical operations of the company so he can focus on the important things.
The company will need to spend more money on salaries but it will be an investment because the quality of the work on the department will certainly improve.
