Question
You work in a medium-sized organization (200–300 people). You head a team that has been tasked with creating a training program for all employees on the usage of a new company-wide email program. As happens in most companies, some of your end users are very technically advanced, while others possess very basic computer skills.
Create two flowcharts that describe the steps in the training process. The first flowchart should describe the step-by-step process that users with basic skills should go through in order to learn the software program—what they should learn first, what they should learn second, and so on. The second flowchart should do the same in regard to more advanced users. At the end, include a brief memo discussing the difference in the steps to be applied to the two groups.
Could you please provide some examples on how you would go about creating the flowcharts? Thanks
Explanation / Answer
Answer:
The steps to be followed to train the workforce on company wide email communications are as under;
A. For Users with basic skills;
Step 1: To analyse and understand the level of basic knowledge they have that is we must first know about what they know.
Step 2: Based on the analysis of their knowledge base we must plan our training program with time schdule to impart the requisite knowledge and skills.
Step 3: Since, this lot of users have only the basic knowledge of computers therefore, we can either teach them all the aspects of company email communications like giving them ingormation about creating a mail, the addressee, the signature, the subject, the matter and make them aware about the use of company mail boxes.
Or, we can facilitate these users with standard formats for subject matter, the mail body, the signature and the rest.
Note: We can give these users access to standard and customised formats and give them basic infomation and details about the usage of company wide email software program.
B. For users who are technically advanced;
Step1: Since these users have advanced knowledge and know how of computers we need to train them only about the Company standards and required outputs.
Step 2: We can make them familier with the technicalities of the software program as well so that if needed they can assist others in small and petty technical issues.
