Specify how the planning process must first be completed before the controlling process can begin by the manager. Determine what the benefits are to the department if the supervisor efficiently carries out the control process.Explanation / Answer
There are 4 steps or stages for implementing any of the project: -
1. Plan
2. Do
3. Control
4. Analyze
- Any project that we want to implement in reality, first needs to be implemented on paper. Before implementing on paper, the project comes in mind.
- Thus in planning stage, the ideas of the project are put systematically on a piece of paper so that all the stakeholders can understand.
- Various critical points and mile stone are discussed and plotted on the paper.
- Staffing is done as per the project requirement and key person responsible for each activity is declared.
- Various other activities like resource allocation, legal permissions are completed, before starting of the actual implementation stage.
In Stage no. 2 - that is Do, the actual implementation work started. As per the sequence of the project activities and critical milestones, various parts of the project are started at a time.
- Once the project implementation is completed, the project needs to be monitored for a time period, to ascertain that it gives desired results.
- Any system implemented gives desired output when the input is as desired and the sequence of activities are fixed.
- This step is called as controlling activity. Controlling is on going process and maintained throughout the project life cycle.
As planning process determines that needs to be implemented it has to be completed before the controlling activity starts.
The controlling activity ascertain the input and process the activities. The output of the process/ project depends on the quality of controlling activity. Thus if the supervisor carries out the control process efficiently, the desired output is achieved out of the project.
