Several managers have reported concerns about how passwords are used in your facility.

Problems reported include the following:

Passwords are being written down and placed near the computers.

Passwords are sometimes called across the nursing units.

Users do not log out when leaving a computer . Then someone else sits down and uses the computer with the previous user's password still in place.

You suspect there are other problems with the protection of passwords but you cannot provide them at this time.

What password management rules can you put in place to eliminate these problems? Include any other password problems that you suspect but cannot prove.

Explanation / Answer

1. Passwords should not be shared with anybody and should be changed periodically.

2. It should not be written down anywhere and should rather be stored securely by the admin

3. A user should be prevented from using the same password again after it has expired

4. Make sure strong passwords are enforced in system

5. Verification of user if someone attempts to change the password and notification of password reset should be generated.

6. Passwords should not be allowed to get transmitted in plain text

The other password problems which I suspect but can not prove is users sharing their passwords with each other as we can not come to know about it. We can only tell them to follow rules and make them aware of consquences of passwords sharing bit it will be difficult to prove it.
