Question
Each day, you observe numerous practices in your office that are not "environmentally friendly" and that also cost your company money. A lot of paper is wasted, for instance, on print jobs that no one claims. Identify one of these practices and write an unsolicited internal proposal to your supervisor that outlines your plan to reduce the amount of waste and save your company money.
Develop a response that includes examples and evidence to support your ideas, and which clearly communicates the required message to your audience. Organize your response in a clear and logical manner as appropriate for the genre of writing. Use well-structured sentences, audience-appropriate language, and correct conventions of standard American English.
Explanation / Answer
Dear Steve
This proposal is for reducing electricity wastage and save energy as well as save company money.
Problem analysis: It has been observed that Lighting and air-conditioning remains switched on for an average of 10 hours daily in the 25 conference rooms that we have in our office. The average utilization of conference rooms is 30%. The average electricity consumption per room is 1KWh. This translates to 250 KWh per month (25 working days) per conference room and 6250 in total for the 25 conference rooms. Considering 30% utilization, 70% of the total energy i.e. 4375 KWh is wasted, which can be saved. Additionally, there are 500 workstations, of which 40% remain unoccupied on an average. However the lighting remains on for all of them. On an average 0.25 KWh electricity is used to light-up a workstation. This translates to 12500 KWh of energy being wasted on the unoccupied workstations every month.
Both the conference rooms’ lighting and air-conditioning and unoccupied workstations’ lighting constitute wastage of 16875 KWh of electricity. The cost of this electricity @ $ 0.2/KWh is $ 3375 per month and $ 40500 per year.
Proposal: This wastage of energy of company money can be saved by installing motion sensor switches to switch on and off the lights and air-conditioning. The total cost of installing motion sensor switches for 500 workstations and 25 conference rooms is $ 10500 at the rate of $ 20 per switch for total of 525 switches.
This cost will recovered within approximately 3 months through energy saving.
Request to evaluate this proposal and provide your approval to go ahead and implement it.
Thank you
Regards
Robbin
