Question
I'm doing a Project Communications Management Plan for a social project. According to PMBOK 5th edition, Communications Management Plan includes the following information:
• Stakeholder communication requirements;
• Information to be communicated, including language, format, content, and level of detail;
• Reason for the distribution of that information;
• Timeframe and frequency for the distribution of required information and receipt of acknowledgment or
a response, if applicable;
• Person responsible for communicating the information;
• Person responsible for authorizing release of confidential information;
• Person or groups who will receive the information;
• Methods or technologies used to convey the information, such as memos, e-mail, and/or press releases;
• Resources allocated for communication activities, including time and budget;
• Escalation process identifying time frames and the management chain (names) for escalation of issues
that cannot be resolved at a lower staff level;
• Method for updating and refining the communications management plan as the project progresses and
develops;
• Glossary of common terminology;
• Flow charts of the information ow in the project, workows with possible sequence of authorization,
I'd like to know what I need to do for these two parts
'Person or groups who will receive the information' and 'Resources allocated for communication activities, including time and budget'
Please explain these two kinds of information with examples that I need to add in my Communication Managment Plan.
Explanation / Answer
Person or groups who will receive the information
There are multiple stakeholders in any project, who are directly or indirectly related to the project and are affected by the activities of the project. These stakeholders must be informed about the status of the project or any other track that might affect their job responsibilities or their tasks. We need to identify all such stakeholders and then prepare a communication plan so that all the stakeholders are properly informed about what is happening in a project.
For example, for a factory union, the stakeholders that will be critical for the purpose of forming the union are as follows:
The communication and matrix will look like this:

Resources allocated for communication activities, including time and budget'
This includes the person dedicated to the communication plan as identified above, how much time that person or resource will spend on project communication activities and what will the budget/cost for such activity. Each activity in a budget is tied with a cost estimate and time, so similar is the case with communication plan as well.
