Managing files and folders may seem like mundane work, but file storage and management is one of the most critical operations a technician can master. As we’ve discussed in previous discussions, people can get very upset when they can’t access their data. No matter how much a computer costs, the data is generally far more valuable. Files come in various formats, but ultimately they break down to 1’s and 0’s. Describe a way that you would arrange data so files are easy to locate and back-up. What would you tell users about securing their data after the lessons that you’ve learned this week? How would you safeguard your own data?

Ofcourse it is a very very big deal with the sorage of files and getting access those files again without time consuming in the workplace. But with little planning and strategy we can avaoid time consuming to access files also.

Generally in work place one person will save the file in some place where another person from other work location wants to access this file but he cant know exactly the location this leads to time consuming process to finally get the access to that file. In this scenarios the best way to avoid this confusion is to make a good startegy of storing this files and make the users are habituated with this.

The best plan is to create the seperate folers for seperate projects which are unrelated. And again in those by creating sub folders according to the functionality and also with the perticular naming convention. Because of this all the people who is creating or adding new files will save the related folders with the related naming convention so that the others who wants to access will easily get to know where the file is stored so that within no time they can access.

Because of the naming convention if any time the file is mistakenly placed on somewhere other they can easily identify that to which project that file is related to.

It is also easy to provide security with this files by giving floder level security according to the information stored in files.
