Question

WBS is a tool used to divide project deliverables into smaller pieces that provide a framework for further planning, execution and control. List and discuss the values of WBS? Compare and contrast the three formats of constructing a WBS. Create the WBS in indented-outline format (as exhibit 6.4) for any one of the following projects. Your WBS need to have at least 6 highest level activities and not less than 30 activities in total. A house construction (may cover exterior and interior of the house). You may refer to these videos for information on the processes of a house construction: and A wedding banquet (may include the programme and ceremony). Graduation banquet (may include the site decoration & setup, programme, plays, shows and entertainments). Record the WBS in (c) as a MS Project file. You are required to attach the image of your WBS on a MS Project windows as your answer to this question and submit both the MS Project file and MS Word file (the assignment file).

Explanation / Answer

(a)

The following are the three main values of WBS:
1. The teams are forced to create detailed steps: The various team members are required to find out the steps required to build and deliver the product. This helps to tackle critical issues in the early pahse and clarify all kinds of ambuguities.

2. The schedule and budget are worked out properly: A good WBS means the resources are properly allocated to specific tasks. This results in better schedule creation and proper budget creation.

3. Accountability is a big plus point of WBS: Since everythign is very organized, it is easier to find out who made the mistake and hold them accountable. This is due to the nature of WBS making everything very well defined.

4. Committment: WBS creates committment. Members of the team are adequately involved in the projects and committment is encouraging in case of WBS.

(b) The three formats of constructing a WBS are the following:

1. Organization Chart: This format involves the graphical view. There is use of hierarchy in this format. The overview of the product along with the relationships between the various integral parts of the product are shown. The relationships are shown at a very high level.

2. Indented and outlined Format: If the product has many integral parts, then it is difficult to show them using organization chart cause of space constraints. So, we can use indentation to show the important parts of the product or project. However there is a draw back that it is not easy to show the complex relationships.

3. Bubble format: In this method of WBS, bubbles or circles are used to represent the whole project. The various parts of the project are shown in bubbles and levels are associated with them. Lines are used to show connection between the bubbles.
