Explanation / Answer
1.1 set weekend for move
Identifiable risk is to ensure that accommodation at the other end is ready for occupancy and all required handing over of present accommodation is completed. All scheduled work for the move will be completed by the set weekend and no other appointments exist.
All the identified risks are low. Alternative temporary accommodation can be arranged for as a standby. All handing over and moving tasks need to be scheduled for at least three days prior to the weekend to have a buffer. Similarly scheduled work appointments need to be completed three days prior.
1.2 determine move budget. risk involved is of the planned expenditure going over budget.
The risk is medium and the plan needs to be drawn out allocating required amount for every job associated with the move. This can be handled by allocation of a 15% reserve amount for unforeseen expenditure, and by trying to get accurate quotations for all jobs involved.
1.3 contract movers the risk involved is medium as suitable movers able to perform the required job at the exact time may not be available.
the risk can be managed by obtaining request for proposal from numerous contract homework and selecting the one closest to the budget and available on the required dates, provides insurance for the goods and also provides staff for loading and unloading the trucks. As it is essential that the Movers be dependable any excess amount charged needs to be adjusted from the Reserve. If insurance is not provided it may have to be arranged from an independent insurance and same may need to be done for loading staff and subsequently unloading staff at destination.

2.3 box up all items. Medium risk. as extensive packing has to be done in an organised manner. It is essential to draw out an exhaustive list of all the belongings to be boxed along with the order and grouping to be followed. This will require analysis of closely placed items to facilitate easier and quicker packing. Items maybe left out after boxing is completed. This can be managed by contingent plan of taking each item of the list and identifying which box it has gone into before sealing the boxes.
3.1 reserve moving trucks. It is low risk as it is mostly covered in the agreement with the contract movers. As different people are responsible for contracting the Movers and reserving the tracks cooperation and coordination is to be ensured to avoid confusion. The risk can be mitigated by clear communication between Lewis and Julia. Julia needs to be informed about the size of trucks required so she can confirm with the contract movers that the trucks will be of the required size. Ensure that the size of drugs is mentioned in the contract with the movers so they are bound to provide the correct size or abstain from charging extra for larger trucks.
3.2 Load truck number one with boxes. Low risk. Risk maybe of the correct boxes reserved for particular track to ensure the Right Fit may not be loaded. The boxes should be numbered exactly as per sequence of loading along with making sure that the size and weight of the boxes is accounted for while drawing up the plan.
3.3 paper work and office inventory Low risk. Ensure all paper work is completed and office inventory taken. Paperwork may not be complete and office inventory list not prepared. This can be managed by ensuring call office paperwork and inventory for packaging is performed at the same time as the home. Suitably grouping tasks makes them easier to perform and saves lot of time. Considering that both are being handled by Lewis, it is easy to manage this.
3.4 Load Truck number two with office furniture. Low risk. As furniture is a large item the risk of an item being left is difficult. A list office inventory including all furniture is to be made. The furniture is to be numbered for sequence to be followed for loading to ensure that which can be easily arranged optimal utilisation of space and minimal damages.
3.5 block and brace items. Low risk. As this is a task which can be completed on the spot risk and immediately be controlled and mitigated by rearrangement if required to ensure that no items shift in transit resulting in damages. Earlier the best arrangement has already been planned.
3.6 prepare for transit make sure that the trucks are loaded and in working condition comes and the contractual obligations of the movers and is a low risk item as it is easy to manage risk by providing for damages within the contract.
