QUESTION #1 What does research suggest as a best practice for how much time should be spent in initiating and planning activities for projects? Do you think that estimate is realistic? Why or why not? How does spending more time on planning help reduce time spent on executing? Give examples of how this has worked on real projects.

Question #2 When do you need a person with a strong technical background to lead a project? When do you need someone with a strong business background? What other types of people might make good project managers in different situations?

Question #3 Why is project scope management so challenging in IT projects?

Question #4 Discuss methods for shortening a project schedule. What are some of the advantages and disadvantages of shortening project schedules?

Explanation / Answer

1.What does research suggest as a best practice for how much time should be spent in initiating and planning activities for projects? Do you think that estimate is realistic? Why or why not?
Solution
**********
The research suggests that companies should spend at least 20 percent of project time in
initiating and planning.because when we spend a fair amount of time on these phases, we have a greater chance
to spend less time on the execution phase Moreover, theplanning phase is crucial in information technology projects because once a project team
implements a new system, it takes a considerable amount of effort to change the system .According to my view
spending at least 20 percent of project time in initiating and planning is a realistic way to lead a project.

How does spending more time on planning help reduce time spent on executing?
Give examples of how this has worked on real projects.
The time you spend analyzing what it will take to solve the problem will reduce the number of surprises you
have to cope with later in the project.

2.Solution
************
When do you need a person with a strong technical background to lead a project?
You will need a person with a strong technical background when the project involves specific technical
information.
In case if the project is based on design and development we oftrn need the support of a highly skilled techies, architect
or managers

When do you need someone with a strong business background?
While estimating the project cost we need someone with strong business project.hence they know how to make profit
while handling a particular poject

What other types of people might make good project managers in different situations?
Detail oriented people, creative people and analytical people all add their own personalities,
strengths and weaknesses to projects.
Professionals prefer to use project management software to meet the needs of large, distributed organizations.

3.Why is project scope management so challenging in IT projects?
Solution
********
Managing the Scope in an IT project is always a daunting task as it presents new challenges every time.
Quite often project scope is monitored and discussed on project level.
Scope changes don’t just happen, but they are made.
IT project scope needs to be managed in several levels; from individual tasks to a corporate IT system scope strategy.
The other parts of scope management are the new additions and deletions that come from the customer during the
course of the project which changes the scope.

4.Discuss methods for shortening a project schedule. What are some of the advantages and disadvantages of
shortening project schedules?

Solution:
*********
There are several methods for shortening a project schedule, following are some of the methods to shorten a project
schedule.they are
1.Shortening the durations of the activities
*********************************************
This can be done by allocating more resources to perorm the activities or by making changes in the scope.
2.Project Crashing
*******************
Crashing is a technique for schedule compression.
Crashing can be done by allocating more resources or working overtime or by paying extra cost to get the critical path activities
delivered more quickly.
3.Fast tracking
*****************
Fast tracking is a method of carrying out project activities in parallel instead of doing in a sequence.
4.Establish Scope Before the Project Starts
***********************************************
Clearly establishing scope before the project team is assembled reduces non-productive time at the beginning of
the project.
As the project teams were working on one release, the requirements, general design, and level of effort for the
next release were being created. As a result, when the project 'started' the team was ready to begin work.
5. Eliminate False Dependencies
********************************
Dependencies are most often expressed as hard, finish-to-start predecessors.
For software projects, hard dependencies generally lie between the project phases.
6. Develop a Comprehensive Testing Strategy
**********************************************
Very large, complex programs often conduct multiple testing phases: system testing, user testing, integrated
system testing, integrated user acceptance testing, and sometimes business operational testing .
When you are executing a project of this magnitude, testing can consume the majority of the time and effort.

Advantages of shortening project schedules
*******************************************
The advantages of shortening project schedules is that you will satisfy your stakeholders on the short run.
The advantage of above method is that it reduces the total duration of the project
Disdvantages of shortening project schedules
*********************************************
1.Burnout of the team members due to overallocation
2.Increased conflicts due to tense environments
3.Lower production quality
