The on-boarding process for new hires is very important. In some organizations it requires a one or two day, face-to-face experience, while in others it takes place mentoring programs. There are probably as many variations of on-boarding as there are companies. In this generation of fast hiring and instant induction of new talent into an organization’s personnel pool, it is the prerogative of the employer to win the trust and dedication of a new employee. It is this engagement of the employee that results in the company’s success or failure. Hence, it is of pivotal importance for the employer to create a positive impression on the new hire as often we have seen a poor initial experience can ruin the prospects for a new hire as well as the company as a whole. Millennials are especially prone and vulnerable to an unpleasant onboarding experience. They want the company to value them and have the faith in them that they can shine.
Therefore looking at this process from the 4 C’s framework would simplify the entire process and give it a more structured look and feel.
1. Connection – Access holds the key here. Smooth, seamless communication is very important for any new hire. Human Resource Department should be easily accessible to entertain any request or address any issue as and when required. Technology can provide that seamless experience by means of Forms (paperless), Chats or an Employee grievance cell or platform within the company HR portal.
2. Culture – Vision, Mission and Values of company is what separates an entity from its peers. All employees should understand its true importance and believe in it as a guiding principle for all the day to day activities. Any new hire should be well versed with it through the training in their initial days. To make things easier to grasp, the concepts should be presented in the form of videos and images. It can be included on the Employee Homepage on the HR portal and also be accessible through the company’s central database.
3. Clarification – All information pertaining to Human Resources, Company’s principles and standard operating procedures (SOPs) should be available to all employees though a central database or a Digital Library. A digital library gives you the flexibility of the same document being accessed by multiple entities at the same time unlike a physically present library. These databases should be regularly updated to keep the employees abreast with any new development.
4. Compliance – All Onboarding processes involve a set of documentation which requires the employees to submit all necessary documents as per government and company policies. All the submissions and information update can be made online through the HR portal with a separate segment for On-boarding. This becomes an accessible source for the Human Resource department too in order to retrieve any information at critical junctures. However, systems should ensure limited accessibility to this data and only a limited set of people should access them at desired occasions.
